Description
Job Summary:
Under the supervision of Network’s Director of Development (within the Development and Marketing department), the Volunteer Program Manager will manage all Network’s volunteer activities to ensure a robust volunteer program. They will serve as a member of the development team and be prepared as necessary to serve across functions, including with the programs team, toward the fulfillment of organizational goals.
Key Responsibilities:
Volunteer Management
- Recruit volunteers for all volunteer activities across the organization.
- Onboard, assist in training, and recognize volunteers.
- Maintain tracking system for volunteer contact information, volunteer shift sign ups, documentation, and hours on an ongoing basis.
- Maintain open communication including quarterly meetings with volunteers, serving as their primary contact for feedback and information sharing.
- Screen volunteers and maintain system for background checks.
- Evaluate volunteer performance with feedback from onsite program managers.
- Prepare monthly volunteer reports for board meetings and annual reports for year-end reporting on an ongoing basis.
- Ensure volunteer assignments provide meaningful, satisfying work in a community reflective of the core values of the organization.
- Assist with conflict resolution involving volunteers according to established procedures and organizational core values.
- Facilitate volunteer exit or dismissal process.
- Administer and monitor expenditures for volunteer programs against the approved budget.
- Identify meaningful volunteer stories; collaborate with Marketing Coordinator for collateral.
- Coordinate with the Director of Development to create and implement a follow-up process for group volunteers to engage organizations in multiple ways – including but not limited to volunteerism, in-kind, and monetary donation.
Volunteer Program Development
- Promote volunteer programs and coordinate with volunteer networks to increase new partnerships, organization awareness, and gain community support of volunteering and Network throughout the Richardson ISD community.
- Develop and manage targeted programs and training to improve volunteer knowledge, skills, and experience in areas relevant to Network’s mission.
- Research, propose, pilot, and evaluate new volunteer engagement programs.
- Conduct ongoing evaluation of the volunteer program, its processes, policies, and activities; recommend and implement improvements, as necessary.
- Achieve annual deliverables and goals with respect to external engagement events and networking as measured by periodic check-in throughout the year with supervisor.
- Train staff to work cooperatively with volunteers and to provide them with effective supervision.
- Continue Volunteer Mentor Program Pilot and build program into full-scale deployment across organization.
- In collaboration with the Chief Program Officer, forecast future volunteer needs in accordance with the growth plan.
Volunteer Care
- Effectively communicate organization and program updates to volunteers.
- Plan and implement formal and informal volunteer recognition activities to show appreciation for the contributions of volunteers to the organization.
- Provide individualized care for volunteers, including birthday and life event acknowledgments, support in times of need, etc.
Other Development Tasks as Assigned
As a member of the development team, the Volunteer Program Manager will contribute as needed to other development and marketing-related tasks to promote and support Network and its programming.

- Data collection, analysis, documentation, and reporting
- Demonstrated ability to:

- Maintain healthy emotional and physical boundaries in personal and professional relationships.
- Additional Skills and Experience Needed:
- Minimum of 2-3 years volunteer management experience required.
- Knowledge of MS Office software (e.g., Word, Excel, PowerPoint) and Outlook)
- Previous experience with Galaxy Digital Volunteer Management Software is a plus, but not required.
- May require some weekend and evening hours.
- Valid driver’s license, vehicle required, and proof of auto insurance.
In addition to salary, Network fully covers essential benefits including 100% employer-paid employee-only coverage on a $3,500 PPO or $3,000 HDHP health care plan on Blue Cross Blue Shield with a $1,000 PPO buy-up plan available; 100% paid employee dental HMO; 100% paid employee vision; 100% paid employee short term disability; 100% paid employee long term disability; $50,000 in AD&D/Basic Life coverage; up to 4% matching dollar for dollar on a 401k after six months of service; and 6-weeks paid parental leave. The first year of employment for this position includes 13 paid days off, 11 formal paid holidays, and a PTO day for your birthday to be used within 30 days of the birthdate. Additionally, Network observes a holiday closure between Christmas and New Year's as well as offers additional days off around formal holidays when operations are not feasible.
