The Dallas Children's Advocacy Center seeks an experienced Volunteer Coordinator to serve as our champion and liaison to our volunteers that serve the Center. 

WORK HOURS:  Monday-Friday, 9-5 and 10-6 with a paid, 30-minute lunch brunch break; at least three (3) nights per week will be late nights working until 6pm to work with volunteers. Schedule will be flexed to work later hours and during special events and conference.

ABOUT DCAC: The mission of Dallas Children's Advocacy Center is to improve the lives of abused children in Dallas County and to provide national leadership on child abuse issues. DCAC is a non-profit organization and the only agency of its kind in Dallas County, working in agreement with public and private agencies to investigate, prosecute, and provide healing services for child abuse cases in Dallas County.

We reduce the victimization of the child, remove barriers to investigation and treatment, and enhance criminal prosecution with our distinctive multidisciplinary and united approach to these complex and severe cases, all at no cost to our clients. Each year, DCAC serves over 8,000 children and their non-offending family members.

GENERAL DESCRIPTION:

Serves as the central point of contact and coordinator of all volunteers, community, and corporate volunteer opportunities that support DCAC. Responsible for all volunteer related activities, including relationship stewardship, recruitment, overseeing the volunteer application process, conducting volunteer training and onboarding, supervising volunteer assignments and work, while maintaining current and accurate documentation.

Essential Duties and Key Responsibilities:

Volunteer Stewardship:

  • Develops and maintains a comprehensive recruitment, retention, and recognition plan for individual and group volunteers.
  • Develops and maintains strong, positive relationships with social, civic, local, and corporate organizations to develop partnerships for mutual benefit.
  • Maintains collegial relationships with peers in the field and with area volunteer organizations to ensure best practices for volunteer programming.
  • Communicates with all DCAC departments to identify available opportunities and needs for volunteers; helps departments and supervisors understand how to best work with volunteers.
  • Coordinates, recruits, and assists with assigning volunteers to appropriate opportunities to fulfill agency needs.
  • Ensures appropriate supervision of volunteers and assists with conflict resolution, as needed.
  • Maintains and manages volunteer appreciation budget and ensures the budget is managed appropriately and within budgetary guidelines.

Volunteer Management:

  • Trains staff to work with volunteers and equips staff with the key competencies they need to lead volunteers. Ensures a process is in place staff to help them resolve any conflicts they encounter with volunteers.
  • Serves as day of point of contact for all volunteers that are in the building; ensures sign-in and sign-out procedures are followed, explanation of volunteer assignment, and, if needed, connection with appropriate staff members so that volunteers feel valued.
  • Communicates regularly with volunteers, assisting with issues, and questions, providing general assistance and feedback.
  • Regularly communicates with volunteers and agency staff to ensure the placement is a good fit for individual skills and goals.
  • Creates and deploys all volunteer-related communication including pre-event information regarding scheduling, dress code, etc., and post-event communication such as volunteer evaluations, etc.

Special Events:

  • Supports agency events, special events and fundraising events such as Holiday of Hope, Aim for Advocacy, Art for Advocacy, and Crimes Against Children Conference, Holiday of Hope and client-serving drives and endure volunteer needs are met for a successful event.
  • Ability to work a flexible schedule in the weeks leading up to the Crimes Against Children Conference, during the week of Crimes Against Children Conference, and for the 4-5 week duration of our Holiday of Hope program and the ability to work with volunteers and staff during the weekend and evenings.

Volunteer Recruitment:

  • Sources and recruits volunteers through in-person and virtual presentations, community fairs (schools, corporations, faith communities, universities, etc.), phone calls, and email.
  • Collaborates with the marketing department to maintain appropriate collateral materials and website information for volunteer recruitment.
  • Ensures logistical arrangements, supplies, scheduling, and promotional materials for recruitment and engagement events.
  • Advertises opportunities to individual and group volunteers that align with their interests and availability.

Volunteer On-boarding:

  • Maintains and oversees the volunteer application process, including processing background checks, calling references, hosting DCAC tours, and scheduling volunteer interviews.
  • Conducts general volunteer training at least twice monthly with training occurring in the evenings.
  • Coordinates Client Waiting Room Training with DCAC family advocates monthly and communicates volunteer expectations of Client Waiting Room Training information to prospective volunteers.
  • Matches volunteers with appropriate opportunities that leverage their unique skillset and interests.

Program Compliance:

  • Maintains the volunteer database, ensuring accurate and current files, records, applications, and other data related to the volunteer program.
  • Tracks volunteer hours through Volgistics volunteer database and provides monthly/annual reports to agency stakeholders that include the number of volunteers, number of hours, and in-kind contribution value of service.
  • Drafts, maintains, and publishes Volunteer Policy and Procedures Manual and related forms.

Other Duties:

  • Attends and participates in weekly/monthly supervision meetings.
  • Attends DCAC staff meetings.
  • Completes compliance and program trainings.
  • Other duties as assigned.

Education and experience: bachelors degree in volunteer and community resource management or similar degree and a minimum of two (2) years of experience as a volunteer coordinator with a high volume of volunteers OR a high school diploma with a minimum of eight to ten (8-10) years of proven experience as a volunteer coordinator.

Required License(s) or Certifications: Clear and valid Texas Drivers License
