Summary of Position
It’s Time Texas seeks a dynamic Vice President (VP) of Operations to lead the organization’s back office operations: business operations, human resources, finance, IT, administration, and regulatory compliance. Reporting to the CEO, this position is part of the executive team.

The VP of Operations must be an experienced leader with great interpersonal skills and proven success in leading teams to adopt and maintain effective processes and systems. This person is a purpose-driven, results-oriented, process and systems thinker who is responsible for organizing and overseeing daily operations. We are looking for a skilled change agent to identify and implement solutions that increase efficiency and effectiveness, while generating buy-in and coaching teams and people to success.

The VP of Operations will play a critical role in maturing the organization and navigating the transition from being a start-up to the next phase of our growth and evolution. This role fosters alignment among all staff around critical systems, processes, and use of technology.

Duties and Responsibilities
Business Operations (50%)

  • Lead change management with the ability to communicate implementation of required changes across various audiences (executive team, staff, board of directors, etc.)
  • Oversee business operations, human resources, finance, IT, administrative functions, and regulatory compliance.
  • Upgrade and implement an appropriate system of policies, internal controls, accounting standards, and procedures.
  • Identify best practices and improve internal systems with an eye toward future needs and budget realities.
  • Manage systems and equip the team to utilize systems effectively (e.g. Dropbox, Microsoft 365, Slack, Zoom, HRIS, and financial systems, etc.).
  • Lead project management process that supports project-based work and cross functional collaboration across the organization.
  • Oversee the development and coordinate the execution of the annual work plan process.
  • Serve as a strategic leader building an organizational budget alongside the CEO while monitoring and controlling costs annually.
  • Serve as a thought partner for budget creation/implementation across programs and/or projects.
  • Oversee performance management process.
  • Manage operations subcontractor, vendor, and fiscal sponsor relationships (assess ROI for all).
  • Serve as the organization’s privacy manager; providing quality assurance and quality improvement of employee relations and ensuring compliance with HIPAA requirements.
  • Responsible for organizational risk management.
  • Manage organizational liability insurance.
  • Manage operational expenses and monitor ROI.

Team Development/Leadership (30%)

  • Oversee, direct, and organize the work of the finance, HR, and operations teams (including coordination with program operations).
  • Promote a culture of high performance and continuous improvement that values diversity, equity, and inclusion.
  • Ensure staff members receive timely and appropriate training and development.
  • Mentor and develop staff.

Strategy, Vision and Leadership (20%)

  • Partner with the CEO in essential internal leadership activities (human resources, finance, administration, and organizational planning).
  • Contribute to the development of strategic goals and objectives.
  • Leveraging activities and outputs to improve ranking in the health equity field and monitoring the competitive landscape.
  • Maintain continuous lines of communication, keeping the CEO informed of all critical issues.
  • Develop and implement a system for tracking and reporting on the progress of the strategic plan.

Education & Experience

A bachelor’s degree in business or a related field is required. Minimum 8 years’ experience in business/operations management; including 5 years in a senior management role. Candidates who are fluent in Spanish are encouraged to apply.

Salary and Benefits
It’s Time Texas is an equal opportunity employer and is committed to equity and transparency in its hiring practices. The base salary for this position is $90,000 with opportunity for salary increase based on experience and qualifications. This position is exempt.

Work Location
The ITT home base is in Austin, Texas and employees are currently working virtually. While staff members are in multiple regions across the state, VP of Operations candidates based in the Austin metro area or central Texas are preferred. Periodic travel may be required within Texas.
