Description
Summary: The Support Services Specialist facilitates and sustains a culture of support to each department and employee by providing administrative support to Operations, Finance, Crisis Services, and Clinical Departments to ensure efficient operation of administrative functions. As with all DARCC staff positions, this role is poised to respond to a survivor should they need crisis intervention.
Essential duties and responsibilities:
- Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders for supplies, and verifying receipt of supplies.
- Manages office equipment by coordinating price bids for product purchases, ensuring operation of equipment by completing preventive maintenance requirements, following manufacturer’s instructions, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Answers DARCC’s business line during business hours and provides support (crisis intervention and info referral) for survivors as needed.
- Processes and distribute mail on daily basis.
- Provides financial and other data entry assistance.
- Provides HR support services including assisting with employee onboarding, training, and evaluation.
- Books staff travel arrangements according to agency policy and grant compliance guidelines.
- Provides administrative support to the CEO by receiving calls, taking messages, routing correspondence, and drafting letters, emails, and documents for outgoing communication.
- Provide sophisticated calendar management for CEO by prioritizing inquiries and requests while troubleshooting conflicts, and by making judgements and recommendations to ensure smooth day-to-day engagements.
- Assists the CEO with tracking commitments, goals, special projects, tasks, and deadlines.
- Collects and prepares information for meetings as requested.
- Attends select meetings, takes notes, captures action items, and ensures follow through.
- Serves as a liaison and provides support to the Board of Directors.
- Performs other duties as assigned for the benefit of the organization.
Qualifications:
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to prioritize work.
- Solid problem-solving, organizational, and planning skills with a strong attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office.
