As our Senior Administrative Assistant, you will perform a variety of administrative and fiscal functions directly related to the day-to-day activities and efficient operation of the Coppell Arts Center. This is accomplished through office management, purchasing, and senior management support. Regular attendance is an essential job function and duties are generally performed on an 8:00 -5:00 work schedule, Monday-Friday, with some additional hours as needed.

Basic Function:

The Senior Administrative Assistant performs a variety of administrative and fiscal functions directly related to the day-to-day activities and efficient operation of the Coppell Arts Center. This position also performs many tasks related to office management, including purchasing, and senior management support. Excellent communication and customer service skills are required, as well as the ability to handle multiple tasks simultaneously as this position is a focal point in a dynamic, fast-paced environment. Knowledge of accounting procedures is essential as this position processes department-wide purchase orders and department accounts payable as well as coordinating budget information for the Arts Center. Regular attendance is an essential job function and duties are generally performed on an 8:00 -5:00 work schedule, Monday-Friday, with some additional hours as needed


Essential Job Functions:

  • Greet visitors of the Arts Center; answer Arts Center’s main phone line; provide routine information and direct to appropriate individual; receive citizen complaints and concerns; resolve complaints or refer a situation to appropriate individual.
  • Reconcile department deposits, review for errors, and communicate with the Finance department and Arts Center's leadership team.
  • Originate professional correspondence and reports, including information regarding confidential matters as required.
  • Review rental applications with the Events Supervisor to confirm contract paperwork, and process payments.
  • Maintain extensive filing systems; maintain budgetary accounts for the Arts Center; assist with budget preparation and control; prepare requisitions, purchase orders and process accounts payables.
  • Provide the necessary support for Arts Center Events and daily operations. Training will be provided on the Arts Center's Ticketing Platform & Booking Software to field citizens questions and concerns.
  • Collaborate and coordinate with departmental and city administration.
  • Additional support to the Arts Center Manager.
  • Perform any other tasks as asked or required.

 

Skills/Abilities:

  • Knowledge and experience in financial processes are highly preferred.
  • This employee must understand how to efficiently operate a personal computer with Microsoft Office, Outlook, and SharePoint.
  • Experience with Ticketing or Event booking software is plus but not required.
  • Exceptional interpersonal and communication skills, as well as the ability to work with all levels of management with minimal supervision.

 

Experience:

  • High School Diploma/GED
  • A College degree in business or a related field is preferred.
  • Minimum three to five years of progressive administrative experience is required.

 

Working Environment:

In order to successfully perform the daily tasks of this position, the employee needs to be able to: lift and carry various objects and equipment weighing up to 25 pounds for a distance up to 10 feet; exert a pull/push force up to 25 pounds; and employ various static and dynamic postures such as standing, walking, forward and overhead reaching, handling (gripping & grasping), fingering, turning, talking, hearing, near and far acuity, depth perception, peripheral and color vision, sitting, squatting, kneeling, bending, stooping, twisting, balancing, climbing ladder/stairs, and bending.

 

Leadership Relationship:

The Arts Center Senior Administrative Assistant reports directly to the Arts Center Manager.
