Civitas Strategies is seeking a Project Associate to provide administrative support for a variety of client-facing projects focused on supporting and strengthening small businesses, specifically in early education. The position is perfect for an entry-level professional who is a strong communicator, and quick and willing learner. The Project Associate will join a dedicated team with diverse background and expertise, providing opportunities for learning, growth, and to develop critical transferrable skills. Advancement within the organization is possible for the right candidate, and the position could potentially serve as the foundation for a career in consultancy.

Because our team is geographically dispersed and the work is remote, the Project Associate should have excellent time management skills and thrive with both independent and collaborative tasks and projects. A successful candidate will demonstrate a passion for improving the lives of vulnerable children and families and working with the small businesses who serve them.

The Position

The Project Associate will have four major areas of focus:

  1. Support team in the creation, design, and delivery of high-quality products, development of client-facing resources, and achievement of project deliverables.

  2. Engage with clients to facilitate regular communication, schedule management, and support project planning and implementation.

  3. Provide administrative support for all projects across the Civitas Strategies portfolio including developing client ready communications and documents such as emails, presentations, and brief reports, data organization and tracking, record-keeping.

  4. Supporting marketing and sales efforts for the firm.

Responsibilities

  • Project Administrative Support: Undertake a variety of assignments to support mission-driven projects to ensure that deadlines are met, and high-quality products and deliverables are produced.

  • Client Relationships and Public-Facing Communications: Provide high-quality and responsive customer service, by interacting confidently with clients and small business owners on regular basis via email, telephone, and video conference calls. Schedule client meetings and facilitate regular project communication as directed by project teams.

  • Organized and Proactive Task Management: Apply detail-oriented organization and prioritization of tasks with team support and feedback.

  • Marketing and Business Development: Support project sales processes including effectively interacting with potential clients during the sales calls and follow up communication. Engage in regular online content posting and communication as needed.

  • Other duties as assigned.

  • Strong analytical skills and the ability to problem solve.

  • Strong verbal and written communication skills with a demonstrated ability to write clearly.

  • Ability to meet deadlines, manage time and a flexible schedule, and work both independently and collaboratively.

  • Experience in utilizing virtual communicative technology essential for working remotely including project management software and video conferencing platforms.

  • Proficiency in the use of all Microsoft Office products (Word, Excel, and PowerPoint).

  • Demonstrated respect and appreciation for different personality styles, thinking, backgrounds, and cultures.

  • Bachelor’s degree or equivalent well-rounded experience.

  • Experience working in early education, or with child care providers or small businesses preferred, experience with additional sectors and various backgrounds will also be considered.

  • Verbal and written fluency in Spanish preferred.

Compensation

Set schedule of 40 hours a week at $25-35/hour, commensurate with experience as well as PTO, Holidays, Home Office Expenses Reimbursement, Technology Stipend, Retirement. Civitas Strategies does not offer health insurance but does participate in a Qualified Small Employer Health Reimbursement Arrangement.
