OFFICE ADMINISTRATOR
Grant Halliburton Foundation is looking for a sharp, friendly, enthusiastic self-starter who isn’t afraid to roll up their sleeves and help wherever needed. Join our team and be part of the dynamic and positive work environment at our Dallas-based nonprofit working to strengthen the network of mental health resources for children, teens, and young adults; promote better mental health; and help prevent suicide.
Position Summary
The Office Administrator is a part-time position responsible for providing administrative support in a wide range of capacities. This position needs an energetic jack-of-all-trades who can navigate office management, donor relations, and special projects with a can-do positive attitude, create and maintain a pleasant work environment, and serve as a passionate ambassador for the Foundation.
Primary Responsibilities:
- Oversight of all front-office functions and administrative duties, including phones, reception, daily mail, and office supplies
- Assist in the onboarding process of new hires
- Data entry and donor database management
- Coordinate donor acknowledgement letters
- Interact with donors, volunteers, and constituents with friendliness, warmth, and respect
- Assist with meeting preparations, including printing needed materials or ordering food
- Maintaining the office condition and arranging necessary repairs
- Support the planning of Foundation events by assisting team with planning, setup, and engagement as needed
- Troubleshoot IT issues, liaise with facility management vendors, and handle facility service requests
- Address employees’ queries regarding office management issues (e.g., stationery, hardware and travel arrangements)
- Prepare documents for board meetings
Essential Skills and Experience
- 3-5 years of experience in a professional or business setting
- Proficiency in Word, Excel, and PowerPoint and ability to learn and master new software quickly and efficiently
- Experience with database management software, preferably DonorPerfect or similar
- Exceptional communication skills, both verbal and written
- Impeccable grammar, spelling, and punctuation skills
- Knowledge of AP style is preferred
- Excellent interpersonal skills for effective interaction with staff, donors, board members, volunteers, and community partners
- Strong organizational and time management skills and ability to meet deadlines efficiently
- The ability to work independently and proactively
- Dependability, flexibility, and ability to maintain confidentiality are a must
- Commitment to agency vision, core values, and mission
Preferred Education
Bachelor’s degree preferred, but will consider experience and work history
Physical Requirements
Must have the ability to spend time seated, the dexterity to perform computer keyboard functions, the ability to stand for long periods of time, and the ability to lift 50 pounds.
The employee must have reliable transportation.
FLSA: Exempt – Salaried; Part Time
Reports to: President, Grant Halliburton Foundation
Compensation: Commensurate with experience
