Description

The Rotary Club of Chicago seeks not-for-profit association management services to manage the operations of the Rotary Club of Chicago (Rotary/One) and the Rotary/One Foundation.

The selected individual or firm will perform duties commonly performed by the Chief Administrative Officer and staff of a not-for-profit membership organization club and supporting foundation.  At a minimum, this will include a designated Chief Administrative Officer, but can include other employees as needed.

The selected individual or firm will report to the Board of Directors of the Rotary Club of Chicago and the Trustees of the ROTARY/One Foundation.

In addition to providing management services to the Club and Foundation, this individual or firm will help achieve the following objectives:

  • Grow and retain membership
  • Increase impact of the Club and Foundation locally and globally
  • Maintain a reasonable financial cost to members
  • Provide volunteer and fellowship opportunities for members

These objectives will be supported through effective management, marketing, and communication by the Chief Administrative Officer of the Club.

Proposal Submission

Format

Please provide, in Word or PDF format, the following information in your proposal:

  • Qualifications and Resumes. Please provide a description of past work and experience that highlights the ability of you or your firm to accomplish the services outlined in Exhibit A.
  • Approach to Scope of Services. Please acknowledge your ability to perform the services outlined in Exhibit A. Respondents are encouraged to highlight specific approaches to accomplish these services, as well as other recommendations beyond items in Exhibit A to improve the efficacy of the Club.
  • Estimated staff hours and budget. Provide your estimate for providing the services described in Exhibit A, and any additional items you provide in your Approach above, in sufficient detail to understand how you arrived at your estimate. Please include an estimate for direct expenses.
  • Three professional references. Please include email addresses and phone numbers for your references.

Please limit responses to 10 pages or less.

Proposal Evaluation Criteria

Proposals will be evaluated according to the following criteria:

  • Approach to meeting or exceeding the roles and responsibilities outlined in Exhibit A.
  • Experience in not-for-profit management.
  • Program coordination, event planning experience.
  • Written and verbal communication skills.
  • Familiarity with Rotary.
  • Technical skills, including familiarity with MS Office, basic web development, social media, and mass email communication.
  • Demonstration of leadership.
  • Fundraising experience.
  • Overall clarity and quality of the proposal.
  • Proposed compensation.

How to Respond

Proposals must be submitted electronically to RotaryOneRFP@gmail.com no later than April 24, 2023.

Submit questions in writing to RotaryOneRFP@gmail.com no later than April 17, 2023.

Interviews, if needed, will be conducted the week of April 24, 2023.

The terms of a written contract incorporating the terms of the winning submission will be executed within two weeks of the contract award.
