Job Title:                  Executive Coordinator

Reports To:             Executive Director

School/Program:    Lumin Education

Hours/Status:          Full Time, Exempt, 40 hours per week

We are seeking a detail-oriented, organized, and proactive individual to join our team in support of the new Mrs. Orien Levy Woolf Executive Director and team.

Our mission is to transform education by starting young, involving parents, and creating learning environments to inspire children from diverse cultural and economic backgrounds.

The Executive Coordinator provides administrative support to the Executive Director(ED), Chief Development Officer(CDO), and the Chief Operating Officer(COO). This includes conducting research, handling information requests, scheduling meetings, maintaining calendars, acting as the liaison with the Board of Directors and their committees, and providing a warm and welcoming environment for staff, guests, and donors.

Responsibilities:

  • Manage ED and Chiefs schedules, calendars, and appointments as directed. Creates and assists with developing presentations, organization charts and spreadsheets as needed. Proofreads and ensures accuracy.
  • Produce board meeting sildes, track and plan board member training, complete and file of board related compliance documents.
  • Keep organized and complete meeting records such as minutes, resolutions, policies, and handouts.
  • Draft and edit documents written by or for the ED, CDO, and COO.
  • Liaise with the COO and CDO regarding action needed from the ED.
  • Support Human Resources department on annual all staff meetings including securing location, transcribing staff evaluations, arranging refreshments and meals, coordinate with audio/visual and technology for meeting, submit check requests, and other duties.
  • Provide clerical support to the ED and Chiefs such as returning phone calls, updating contact data base, organizing mail, completing check requests, tracking expense reimbursements, and monitoring office supplies.
  • Act as technology support for ED and Chiefs by setting up and troubleshooting equipment in conference rooms and other meeting locations.
  • Make all travel arrangements for ED and Chiefs including hotel and plane reservations, submit travel expenses to accounting including mileage and per diems, and other related tasks.
  • Coordinate meetings and special events for the Executive Department including scheduling, communication, room preparation, catering, and more.
  • Establish and document procedures related to executive department.

Knowledge/Skills/Abilities:

  • Excellent attention to detail and documentation.
  • Strong positive communication skills (both oral and written) to interact with a variety of people, both internal and external.
  • Ability to take initiative on projects and tasks, and work independently without requiring the immediate attention of supervisor.
  • Familiarity with remote presentation technology such as Zoom.
  • Understanding and/or willingness to learn the Montessori Philosophy.
  • Demonstrated knowledge of computer applications including MS Outlook, and MS Office.
  • Extensive knowledge and experience using MS Power point and MS excel for presentations and reporting.
  • Ability to participate in confidential discussions and protect confidential information.
  • High level of integrity in maintaining confidentiality.

 

Experience:

  • Three to five years in a professional administrative position supporting Executive management.
  • Fluent in Spanish, a plus.
