Title:                               Executive Assistant

Scope:                            Full Time Position (Non-Exempt)

Reports to:                   President/Director of HR & Operations

Position Type:            Hybrid

Salary Range:              $43,368- $49,456 (Commensurate with experience)

PURPOSE OF POSITION:

Supports the President and Director of HR & Operations through organization of Board of Directors meetings and logistics, clerical and organizational projects for the Operations Department.

WORK ENVIRONMENT:

This position is a hybrid role, based in Dallas. Reliable transportation and Wi-Fi is required. Working hours are 7:30 am – 4:30 pm Monday through Thursday, and 7:30 am – 12:30 pm on Friday.

Responsibilities Include:

Board of Directors:

  • Coordinates all details for the Board of Director, Executive Committee, Audit Committee, Investment Committee, Compensation Committee, and Board Action Team meetings.
  • Create and send calendar invites to board members and executive committee meetings.
  • Confirm member’s attendance status for meetings and send out a reminder a week prior to a meeting.
  • Attend in person, prepare materials for meetings, board orientations, trainings, etc. and send material to members prior to meetings.
  • Take minutes for board, executive committee, audit and board action team meetings and prepare a draft.
  • Manage board members constituency in our management system Blackbaud CRM (BCRM).
  • Sends a Welcome packet to new board members.
  • Revises Board Orientation as needed to ensure material is updated.
  • Schedule and email board orientation material.
  • Create a Sign-up Genius for annual board 1:1 meetings.
  • Run reports that list current board members in BCRM management system.
  • Manage board distribution list.

 Accounts Payable:

  • Works with Lawson Bookkeeper to ensure all invoices with receipts attached are received.
  • Monitor AP mailbox and codes invoices for bookkeeper.
  • Assists with the budgeting process and ensures that the data entry is correct.
  • Understands expense accounts and cost centers.

Department Support

  • Manages the President’s calendar and email account.
  • Prepares materials for the President for internal meetings.
  • Research information for President prior to meetings.
  • Register President and Staff for events and coordinate travel for the organization.
  • Draft correspondence as needed.
  • Responsible for documenting and updating key processes for the Operations Department.
  • Assists in setting internal and external meetings for the organization.
  • Schedule in person meetings at Pegasus Park through Nexudus coworking system.
  • Manage Info calendar and staff distribution list for the organization.
  • Assists in the planning of departmental and organization meetings and takes minutes.
  • Write and distribute emails, correspondence memos, and letters.
  • Is the point of contact for board members and their assistants.
  • Supports teammates and departmental goals and objectives.
  • Supports effective stewardship of board members.

 POSITION SPECIFICATION: (Education, Experience, Certification and Knowledge/Skills/ Abilities)

Education/Experience Preferred:

  • High School Diploma or GED.
  • 3 years’ experience working in a professional office setting.
  • Ability to successfully manage timelines, deadlines, and multiple projects simultaneously.
  • Detail orientated, and effective customer service skills.
  • Skilled in Microsoft Office and Google products.
  • High level of initiative to achieve organizational goal and objectives.
  • Strong interpersonal skills to be an extension of the President for Board and Constituent relationships.

Desired: 

  • Experience working for a non-profit organization.
  • Experience working with a customer relationship management software system and QuickBooks.
