Job Profile:

The Event Coordinator’s primary goal is to advance fundraising through development department events. Primary responsibilities include: to plan, coordinate and execute all development events designed to raise funds and promote awareness, with supervision and support from the VP of Development. Agency events include, but are not limited to, the annual Purple Party, In Good Company donor stewardship events and various Third Party Fundraisers.  This position requires an individual with superior attention to detail, excellent interpersonal skills and the ability to communicate effectively with donors, vendors, community members and staff. This individual will be directly responsible for a fundraising goal.

Essential Duties and Responsibilities:

  • Responsible for the planning, implementation, and production of all events (including internal and external fundraising events, donor events, and any other donor stewardship/development department events) including sponsors, vendor relationships, auctions, and event day logistics.
  • Identify, solicit, secure, steward and maintain event sponsors.
  • Identify, solicit and secure all event related in-kind items – silent auctions, raffles, mystery wall, live auction, etc.
  • Document and manage auction item procurement process – picking up items, arranging packages, ensuring a successful auction, with support from the Development Coordinator.
  • Develop, manage and maintain all event vendor relationships.
  • Work with community partners and event vendors to keep event expenses low through in-kind donations and discounts.
  • Provide accurate up-to-date event expenses in relation to fundraising budgets.
  • Manage timely execution of special event timeline – coordinating all necessary partners in tandem with VP of Development.
  • Provide support in tandem with VP of Development for all event-marketing materials.
  • Work closely with the VP of Development and Marketing Director to produce an impactful event program.
  • Coordinate with and support event sponsors, vendors, donors and volunteers.
  • Manage all In Good Company donor events from start to finish including but not limited to soliciting new donor events, working with the donor on their guest list, managing the creation and distribution of the invitations, coordinating and carrying out event night logistics and manage post-event follow up.
  • Attend all development department events.
  • Effectively communicate with relevant staff regarding status of solicitations and prospects.

General Development:

  • Provide friendly, donor-centered customer service when responding to inquiries from existing and prospective volunteers/donors.
  • Maintain up to date and accurate information in the donor database including communication with volunteers, donors and prospective donors, updated contact information, areas of interest, relationship links, and any additional information that will help ensure proper communication and stewardship is provided to all constituents.
  • Maintain close productive working relationship with development department and program staff, as necessary.
  • Attend and support agency events.
  • Must be able to work a flexible schedule, which includes days, evenings and occasional weekends.
  • Respects the confidentiality of all constituents.
  • Other duties as assigned.

Other Duties:

In accordance with the team philosophy of the agency, will routinely be required to carry out or assist with other tasks in addition to the activities listed above, as assigned by supervisor.  Must act in accordance with the agency’s mission statement and goals.

Qualifications:

Bachelor’s degree strongly preferred

Minimum of 2 + years of applicable work experience, nonprofit experience preferred

Experience planning and coordinating events preferred

Goal and task oriented – work towards achieving the development department’s financial and strategic goals

Ability to follow directions and complete tasks effectively and accurately in a timely manner

Dedication, flexibility, attention to detail and creativity is necessary

Ability to confidently speak in both small and large group settings

Ability to establish rapport when meeting new people

Ability to multitask, prioritize and meet deadlines

Ability to creatively conceive and aggressively pursue fundraising opportunities, as appropriate

Experience with donor database software, preferred

Big picture thinker – able to strategically plan for future

Personal computer proficiency required, including Word, Excel and Outlook

Self-motivated – able to determine necessary tasks to finish goals

Work in tandem with a fast-paced development team

Demonstrated aptitude in working with diverse community groups

Ability to work a flexible schedule including evenings and weekends

Frequent travel locally by personal automobile

Sensitivity to the issue of domestic violence

Frequent walking and standing

Occasional lifting up to 40 pounds

Ability to effectively and consistently work in a shared office environment

Ability to bring positivity to a shared office space
