Dallas Children’s Advocacy Center seeks a full-time Donor Relations Specialist. Reporting directly to the Director of  Foundations and Development Operations, the Donor Relations Specialist (DRS) is responsible for assisting with DCAC’s resource development, marketing, and communications efforts. The primary objective of this position is to provide comprehensive administrative support to the development department, with a focus on office and fundraising support, effective database management and reporting, event support and donor stewardship efforts. 

Success for the team is meeting revenue goals as we continue to meet the demand for services from our clients. As a team we are responsible for driving deeper, individual relationships working collaboratively to make sure donors are engaged in ways that suit their interests through teammate events and initiatives. The goals are high, the pace is fast and there should be a deep sense of responsibility in doing the job well. 

DUTIES AND RESPONSIBILITIES 

Administrative Support 

  • Help with in-house mailings, including but not limited to event underwriting letters, annual appeal solicitations, holiday cards, tax letters and invitations. 
  • Manage Development email inbox; respond to communications accordingly or forward to appropriate parties. 
  • Keep inventory of current collateral materials and order/print as necessary.
  • Keep inventory of agency swag and alert Marketing to place order prior to low inventory levels; manage organization and check out system.
  • Facilitate donor stewardship by ordering gifts, birthday cards, and recognition items for committee chairs, donors, and volunteer leaders.
  • Set up breakfasts and/or lunches for donor tours or committee meetings, including ordering meals, expensing, and budget reporting.
  • Help ensure documents, including but not limited to sponsorship contracts and grant agreements, are uploaded in Raiser’s Edge.
  • Assist data team with research to ensure Raiser’s Edge has accurate donor information, eliminate duplicate entries, etc.
  • Assist Community Coordinator with preparation of volunteer support for major events by printing and creating badges and binders, day-of check-in, and other training needs. 

Events Support 

  • Support event leads with early preparation and day-of event set-up. 
  • Manage all event RSVPs in Raiser’s Edge and Excel. 
  • Assist Events Committees, including Aim for Advocacy and Art for Advocacy, with the following:
    • Execute committee meeting preparation with printing and organizing collateral materials, creating folders, and gathering supplies.
    • Attend committee meetings to take notes and send post-meeting updates.
    • Track committee hours and provide to Community Coordinator monthly. 
  • Add meeting attendance to Raiser’s Edge for committee members. 
  • Create and manage committee rosters with current contact information; ensure all information is in Raiser’s Edge for accurate reporting of contact lists.
  • Follow up as necessary with committees and/or sponsors as it pertains to their event attendance, table names, etc.
  • Act as Aim for Advocacy and Art for Advocacy Registration lead by coordinating with Database specialist on creating event module, overseeing name collection of event attendees, and managing the event module by inputting relevant data. 
  • Act as Holiday of Hope Administrative lead by helping with lead-up prep and day-of event setup; operate holiday email inbox and address communications appropriately; manage toy drive signup; help coordinate toy drive drop-offs and pickups. 
  • Assist with lead-up prep and day-of event setup for Back to School. 

Annual Appeal Support

  • Manage raffle tracker and in-kind raffle donations spreadsheets to ensure an in-kind donation has been recorded for each donation. 
  • Manage yard sign tracker and purchases; coordinate yard sign drop-offs with designated volunteers. 
  • Manage Monthly Giving Support membership tracking spreadsheet; share names monthly with Marketing for recognition on DCAC website. 
  • Provide additional auxiliary support as follows: 
    • Track memberships in Excel spreadsheet; share names monthly with Marketing for recognition on DCAC website. 
    • Add newsletters in Raiser’s Edge for members. 
    • Attend committee meetings to take notes and send post-meeting updates. 
    • Track committee hours in Excel and provide to Community Coordinator monthly. 
    • Add meeting attendance in Raiser’s Edge for committee members. 

 QUALIFICATIONS AND SKILLS 

  • Bachelor’s Degree from accredited university or equivalent preferred. 
  • 2-4 years of administrative, development or non-profit experience preferred.  
  • Experience or knowledge of donor database entry and management, specifically Blackbaud Raiser’s Edge, strongly preferred. 
  • Experience or knowledge with mail merges, printing envelopes, etc. preferred. 
  • Exceptional written, oral, and public communication skills with the capacity to engage multiple and diverse constituents. 
  • Exceptional attention to detail required. 
  • Proficiency with MS Office Suite, including MS Windows, Word, Excel, and Outlook. 
  • Must possess strong organizational skills, ability to work independently, and be able to simultaneously manage multiple projects and tasks at once. 
  • Candidates should ensure accuracy and maintain strictest confidentiality in all work, especially when handling sensitive information. 
  • Individuals should be creative, resourceful, detail-oriented, and flexible, possessing a positive attitude, tact, good judgment, and cultural sensitivity. 
  • Applicants should have strong interpersonal skills, including the ability to build relationships and work well as a team member with staff, community professionals, and volunteers.

Hourly rate range: $19-21 DOE
