Position Description

Oversees the Museum’s stewardship program ensuring excellent communication with donors and members. Supports donor and member relations at every level and plays an integral role in cross-departmental engagement with Museum supporters.

 

Responsibilities

  • Participates in the Carter’s relationship management advancement model by helping assign solicitors to donors and members; and working closely with the development and membership department, leadership team, and board to facilitate strong donor engagement.
  • Assists the Head of Museum Advancement to create a stewardship strategy and timeline. Oversees ongoing management of stewardship calendar to ensure that grant reporting deadlines are met and that assigned solicitors stay on track with stewardship goals.
  • In cooperation with team and other departments, creates stewardship communications and reports and coordinates stewardships visits.
  • Management of the Development Committee and Board of Trustee meeting reports
  • Coordination and management of the Annual Report and annual Economic and Education Impact Statements
  • Coordinates stewardship events and assists with development and membership events as needed throughout the year.
  • Works closely with Development Database Manager to record gift entry (membership, Annual Fund, ticket purchase, and travel fees), produce acknowledgement letters, print membership cards, mailing of new member packets, create and maintain donor files.
  • Receive all incoming cash, check, credit card charges, and donations for Development, Membership, Events, Educations, Registration, Curatorial, Administration, and Library. Coordinate with Accounts Receivable daily, weekly, and monthly to ensure proper cash handling procedures.
  • Assists the Manager of Individual Giving to coordinate Ambassador Council meetings and communications.
  • Manage all RSVP’s received for Development and Membership
  • Preparation of various mailings for Development and Membership
  • Update and maintain Raisers Edge records with notes, emails, media, and NCOA address updates.
  • Entry of potential donor and membership lists
  • Maintain inventory of departmental materials, supplies, and subscriptions
  • Produce purchase orders, check requests, and expense reports; process departmental incoming/outgoing mail and assist with filing.
  • Maintain confidentiality regarding all sensitive museum information.
  • Maintain the wall calendar and Outlook calendar for Development and Communications Division
  • Other duties as requested

 

Skills and Requirements

  • Proficient in Raiser’s Edge software
  • Proficient in MS Office Suite
  • Experience with calendaring software
  • Proven strong organizational and analytical skills.
  • Proven strong multitasking skills.
  • Strong communications skills, both oral and written
  • Composition, spelling, and punctuation skills; excellent attention to detail

Qualifications/Education

  • Bachelor’s degree
  • 3 years’ experience in non-profit fundraising preferred.

 

Other Job Requirements

  • Must pass required background and drug screens.
  • Available to work some nights and weekends as scheduled.
