The Warren Center advocates, serves and empowers the children and families impacted by developmental delays and disabilities.

Summary

The Development Associate plays an important role by providing administrative support to the Advancement team by participating in all fundraising activities including donor relations, marketing and communications, direct mail appeals, and special events.

Essential Duties and Responsibilities

  • Analyze gift information for correct fund recording, and identification of specific codes and payment types; research and gather information from the database, and the Web to ensure proper recording of the gift
  • Responsible for imaging and indexing all gifts and donor agreements and documentation
  • Develop and maintain monthly, quarterly, and yearly giving reports
  • Work with financial partners to manage transference and recording of cash, credit card, wire, stock, pledges and grants
  • On an on-going basis, reviewing status of pledges and funds in suspense to ensure they are current and actively managed
  • Managing the creation, submission, and monitoring of gift invoices by producing invoices upon request and entering information needed to ensure timely management into the donor database system
  • Assisting in developing and executing an actively managed program for matching gifts by identifying potential recipients, increasing data viability, communicating the benefits, acknowledging receipt, promoting the program, and reporting on activity
  • Provide administrative assistance to the fundraising team in order to facilitate meeting proposal and report deadlines and the timely production of correspondence including gift acknowledgement letters
  • Manage the Bloomerang database including tracking donor cultivation, solicitation and stewardship via entry of information provided by the fundraising team
  • Pull accurate reports on fundraising activity, as needed
  • Ensure accurate gift processing and financial reports for Development and Finance Departments’ reconciliation
  • Prepare donor acknowledgement letters, pledge payment reminders and/or donor invoices
  • Help prepare materials for donor meetings and assemble presentations for Development Committee members and staff
  • Build and maintain donor, prospect, mailing and invitation lists to ensure mailings completed in an accurate and timely fashion
  • Work with Development team members and other departments as appropriate to manage invitation lists, RSVPs, and guest registration for events and special projects

  • Professional, dependable, and proactive
  • Ability to handle multiple tasks in a fast-paced environment
  • Team player who will productively engage with others at varying levels of seniority within and outside The Warren Center
  • Strong organizational and time management skills with exceptional attention to detail
  • Advanced knowledge of Microsoft Office Suite: including Word, Excel, PowerPoint, Outlook, OneDrive, and Teams

Education and Experience

  • Bachelor’s Degree from an accredited college or university or equivalent
  • Minimum three (3) years in a advancement or development office preferred
  • Proven track record of managing relationships with key stakeholders and donors
  • Knowledge of Bloomerang or similar donor database and prospect research tools
