Purpose of Position:

The purpose of the position for Development Assistant at Junior Achievement of Dallas is to provide multifaceted support to the Development Department. This role encompasses a wide range of administrative, marketing, and special events logistics duties. Additionally, the Development Assistant plays a crucial role in revenue processing, ensuring accurate and timely handling of donations and contributions. By efficiently managing these tasks, the Development Assistant significantly contributes to the organization's fundraising efforts, facilitating the attainment of Junior Achievement of Dallas's financial goals, and furthering its mission in the community.

Title: Development Department Assistant

Scope: Full Time Position (Non-Exempt)

Reports to: Chief Development Officer

Position Type: Hybrid

Salary Range: $20/hr. - $22/hr. (Commensurate with experience)

WORK ENVIRONMENT:

This position is based in Dallas. Reliable transportation and Wi-Fi is required. Working hours are 7:30 am – 4:30 pm Monday through Thursday, and 7:30 am – 12:30 pm on Friday, with occasional evenings and weekends.

Responsibilities Include:

Donation processing

  • Maintain records of financial contributions, including receipting, recording pledges, invoices, acknowledgments, and billing.
  • Manage daily incoming donations, prepare necessary reports for reconciliation.
  • Manage relationships with online financial/donation processing companies.
  • Ensure proper designation and recording of donations.
  • Update prospect and contribution records.
  • Manage matching gifts process.
  • Utilize JA Dallas customer management system (Blackbaud CRM) for coding and recording financial donations.
  • Provide written acknowledgment of all donations to donors within 48 hours.
  • Coordinate monthly reconciliation with President, Chief Development Officer, and Development staff.
  • Process daily deposits and input into deposit log for review.
  • Research donor distribution using online portals.
  • Manage mail operations at our Dallas office, including picking up incoming mail and conducting thorough reviews. Key tasks involve reconciling, cross-checking against deposits, and ensuring accuracy and efficiency in handling correspondence.
  • Input all pledges using AssureSign into BCRM and create steps for future invoicing.
  • Generate and manage invoices for donors, as well as overseeing the donation processing for all special events.
  • Create invoices, processing donations, and maintain accurate records to support our fundraising efforts.
  • Maintain and update donation pages for both Dallas and Tyler offices to ensure accurate and engaging representation of our fundraising efforts.

 Department Support

  • Data entry into the Blackbaud CRM system, ensuring accuracy and completeness of all information entered.
  • Document and revise essential procedures within the Development Department to ensure clarity, efficiency, and alignment with organizational goals.
  • Compose and distribute emails, correspondence memos, and letters as needed to facilitate effective communication both internally and externally.
  • Manage incoming phone calls, providing assistance or directing inquiries to the appropriate personnel as required.
  • Organize and manage electronic and hard copy files to ensure accessibility and accuracy of documents.
  • Serve as a primary liaison for internal and external clients, addressing inquiries and facilitating communication as needed.
  • Assist colleagues and contribute to achieving departmental objectives through collaborative efforts and support.

 Special Events

  • Supports the implementation of department special events under the leadership of the Special Events Manager
  • Manages our peer-to-peer fundraising site QGiv including participation registration, donations, and reporting.
  • Take lead in securing auction items, tracking requests, labeling, inputting data in QGiv, and ensuring timely acknowledgement of contributions.

 Donor Stewardship

  • Supports donor recognition plan implementation and effective stewardship of donors.
  • Data entry and reporting from organizations Blackbaud CRM database.

POSITION SPECIFICATION: (Education, Experience, Certification and Knowledge/Skills/ Abilities)

Education/Experience Preferred:

  • Bachelor’s degree preferred or equivalent experience.
  • 1 year experience working in a professional office setting.
  • Ability to successfully manage timelines, deadlines, and multiple projects simultaneously.
  • Demonstrated proficiency in written and verbal communication, coupled with exceptional customer service aptitude.
  • Skilled in Microsoft Office and Google products.
  • High level of initiative to achieve organizational goals and objectives.

Desired: 

  • Experience working for a nonprofit organization.
  • Proficient in Microsoft Office suite and Google products, with adeptness in utilizing various software for productivity and collaboration.
  • Experienced in marketing strategies and proficient is social media management, including content creation, engagement, and analytics.
