Summary

Under the direct supervision of the Adult Ministry Project Manager, the Community Engagement Coordinator will help manage the creation, organization, and implementation of special events and programs in Adult Ministries, with specific focus on programs related to Small Groups and Communities.  This role is a partner in ministry helping to fulfill the mission and vision of St. Andrew Methodist Church.

Essential Functions

  • Content Production
    • Coordinate the development of seasonal studies per year for Small Groups
      • Oversee the calendar for all working components of the study including videos, discussion guides, podcast recordings, supplemental materials, and the website.
      • Work with Creative Team to design the webpage for posting materials; add/update content as needed
      • Review, edit, and approve videos, Discussion Guides, podcasts, additional written materials, and website materials page
      • Ensure all deadlines are met
    • Coordinate the development of devotionals per year (i.e. Advent, Lent) with church clergy
  • Assist with the coordination of special programs/events pertaining to Communities (i.e. The Table, The Forge, Leading People)
  • Event Support
    • Work with Events Team to assist with planning and implementing major Adult Ministries events.
    • Prepare and maintain event registrations
    • Secure room reservations
    • Coordinate with Childcare Director to set up childcare reservations
    • Stage rooms and set up for campus meetings and minor events
    • Prepare name tags, folders, etc. for campus and off-site meetings and events
    • Provide lay-leader volunteers with attendance and survey reports upon request
    • Set up and attend off-campus meetings/events to assist the Adult Ministry Director as needed
  • Program/Event Promotions
    • Coordinate with the Marketing Manager on content and distribution of Adult Ministry Newsletter
    • Partner with Creative/Communication Teams to create promotional materials including (but not limited to) posters, flyers, postcards, brochures, etc. for programs and events.
    • Work with Creative/Communications Teams to maintain Small Groups and Communities web content along with other Adult Ministries pages; update content as appropriate.
  • Connecting
    • Maintain regular contact with Small Group leaders to encourage, coach, and offer staff support
    • Communicate and distribute seasonal study materials or Adult Ministry programming in general to Small Group and Community Leaders
    • Present information as needed at Small Group Kick-Off events for each seasonal study and Small Group Start-Up Sessions
    • Act as staff contact for new members and visitors who are interested in Small Groups and Communities
  • Record Keeping and Reports
    • Create and maintain groups in Ministry Platform
    • Create and maintain attendance spreadsheets in Ministry Platform and other registration programs
    • Post attendance numbers in Ministry Platform as needed
    • Execute and assist Small Group Leaders with Ministry Platform (roster, attendance, reports)
    • Prepare, execute, and process results for surveys for each Small Group studies and Communities as needed
    • Assist with the preparation of reports for Annual Conference

Preferred Education and Experience

  • Associate’s degree or equivalent years of experience
  • 1 or more years of (relevant) experience

Position Type and Expected Hours of Work

This is an exempt salaried full-time position at 36.5 hours per week. Workdays are Monday – Friday. Office hours will be set but are flexible around morning/evening events or other church activities.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.  Events will require more walking and lifting than the typical office requirements.
