Summary:

The Administration and Finance Coordinator is instrumental in helping Greenspace Dallas (GSD) fulfill its mission to restore and develop national park-quality green spaces within the Trinity River Corridor. Reporting to the Chief Executive Officer (CEO), this position’s primary role is to manage the day-to-day administrative and financial office activities that ensure GSD is running well.

 

Responsibilities:

Financial:

  • Using the organization’s QuickBooks software, manage accounting services including processing account receivables and payables, verify incoming and outgoing transactions, and keep a weekly record of financial transactions including petty cash and employee reimbursements.
  • Help the CEO with budget reporting for Board of Directors meetings reflecting actual expenditures against budget including monthly and year-to-date, variances, etc.
  • Bring books to the trial balance stage and work with the outside accountant to ensure information needed for monthly profit and loss statements, balance sheets and grants reporting are accurate.
  • Process employee payroll and work with the CEO, Board Treasurer and outside accountant to ensure accurate taxes are filed.

 

Administration:

  • Serve as a point of contact for people visiting the office, answer inquiry phone calls and emails and direct them to the appropriate person.
  • Assist all employees with administrative tasks, filing, copying, mailings, preparing materials for Board of Directors and Committee meetings, etc.
  • Support the CEO, Director of Community Engagement and Individual Giving Manager with correspondence including proofreading communications newsletters, fundraising letters and proposals, invitations, etc.
  • Assist the CEO and other staff with logistics for meetings and events.
  • Coordinate activities with vendors and service providers, e., IT, utilities, etc.
  • Perform other related duties as assigned.

 

Education and/or Experience Required (Minimum):

  • Bachelor’s degree and experience in bookkeeping/accounting
  • Two or more years’ experience in a non-profit organization or

 

 

Knowledge, Skills, and Abilities:

  • Must be able to speak, read and write Standard English.
  • Experience in data entry, computing software–preferably QuickBooks–and record keeping.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to calculate accurately and with great attention to detail.
  • Possess strong organizational skills and the ability to multi-task and prioritize in a highly fast-paced environment meeting various deadlines.

Work Environment:

The GSD offices are housed in a building that also serves as its equipment storage/repair shop and garage. The noise level is usually moderate.

 

Hours:

This is a full-time position. Office hours are generally 9:00 to 5:00 but these may vary because the GSD trail crew begins and ends its days very early. This position may require weekend work especially to advance GSD volunteer programs.

 

Payrate: $19.25 ($40,040 annual) to $21.75 ($45,240 annual) Based on background and experience level.
