Primary Purpose:

The Advancement Services Manager is a key member of the Lewisville Education ISD Foundation responsible for efficient gift processing and budget management. This role will maintain accurate accounts receivable and accounts payable records as well as update donor information in a timely fashion. In addition to familiarity with donor database systems, the right candidate will also have a strong background using QuickBooks Premier or similar financial software. Tax-receipting and budget forecasting experience is preferred.

Qualifications:

Education/Certification:

  • Bachelor’s degree or equivalent work experience
  • CPA highly desired

Special Knowledge/Skills:

  • Computer literate including spreadsheets, word processing, e-mail, and web
  • Flexibility to adjust to dynamic work environment
  • Able to problem solve in an efficient manner

Experience:

  • 2 years minimum bookkeeping experience
  • Experience with donor database systems preferred

 

Major Responsibilities and Duties:

 Accounts Receivable:

  1. Issue and track pending invoices
  2. Make deposits in Foundation accounts and record them in QuickBooks
  3. Track ongoing event sponsorships as well as individual donations made to the Foundation
  4. Lead Foundation representative in the annual LISD employee giving campaign
  5. Ensure timely gift receipts and/or fiscal year-end reports are sent to sponsors and donors for tax purposes
  6. Monitor and reconcile all credit card payments
  7. Provide event support as needed for credit card processing
  8. Assist with pledge collections

 Accounts Payable:

  1. Prepare and process operating expense, teacher grant, and student scholarship check requests
  2. Liaison with LISD to reconcile Foundation’s payroll expense
  3. Facilitate new vendor setup, securing contracts and W-9 forms
  4. Identify and record prepaid expenses and amortize accordingly
  5. Issue 1099-MISC forms to vendors, contractors, and award recipients at fiscal year-end and in compliance with IRS guidelines
  6. Track spending and report on variances to Executive Director

Advancement Services:

  1. Reconcile checking, savings, and investment accounts monthly in order to prepare monthly financial reports including P&L actual to budget variance
  2. Present reports to the Foundation’s Treasurer and Board of Directors for review and approval
  3. Identify and record deferred revenue
  4. Maintain accurate donor information for solicitation and stewardship purposes
  5. Respond to financial report requests in a timely manner
  6. Coordinate with external auditor to complete annual financial audit and facilitate review of audit finding by Administration and Finance committee and Board of Directors
  7. Work with tax accountant to prepare annual Form 990 filing with IRS and present completed 990 to Board of Directors
  8. Coordinate with staff, Board of Directors, and event committees to prepare annual Foundation budget based on review of prior year expenses and estimated expenses for upcoming year
  9. Ensure all approved budget information is available in QuickBooks for monthly comparison reporting
  10. Complete LISD annual budget request for presentation to and approval by executive team
  11. Other duties as assigned
