Position Summary

The Office Associate is a part-time position, up to 32 hours per week, working on-site, in the Dallas office. This position is responsible for supporting the Operations and Development teams and running the day-to-day operations of the office Monday and Friday, with additional days to be agreed upon prior to employment. The Office Associate will answer all incoming phone calls, collect, open, and distribute all mail, check the Foundation’s general email inbox, and organize/execute all mailings. This position reports to the Director of Operations.

Primary Responsibilities

  • Coordinating all Foundation mailings; working with mail house on bulk mailings, organizing and executing all in-house mailings, including acknowledgement letters
  • Prepare membership mailings
  • Check and process mail
  • Answer the phone
  • UPS packages incoming, and outgoing for staff
  • Answer the phone and connect incoming calls with appropriate party
  • Welcome any guests
  • Coordinate maintenance requests, cleaning, and door access with building management
  • Review and facilitate TPWF Replies inbox, reply or forward as necessary
  • Assist in the organization of the Foundation’s shared drive
  • Facilitate a bi-annual re-organization of the Foundation’s storage unit with the oversight of the Program and Engagement Managers
  • Ensure the office common areas and storage closets are kept neat and organized
  • Facilitate any office supply orders
  • Schedule maintenance on office equipment and ensure all is in working condition
  • Any other duties as required

 Preferred Background and Skills

  • Excellent written, verbal, and interpersonal communication skills
  • Proficient in Microsoft Office, including Power Point, Word, and Excel
  • Experience with RingCentral, Jotform, or similar a plus
  • Strong working knowledge of office equipment including printers, mail meters, and computers
  • Ability to handle a diverse workload while maintaining a positive perspective
  • A strong work ethic, sense of urgency, attention to detail, and ability to think independently
  • Ability to interface with individuals at every level of an organization, both internally and externally
  • Ability to adapt quickly to, plan for, and manage multiple projects in a fast-paced setting
  • Strong initiative, self-motivation, integrity, and sense of humor

Office Location and Benefits

TPWF has offices in Dallas (Headquarters) and Austin, and this position will be based in the Dallas office. The Office Associate position will be eligible to accrue vacation in the first year of employment, and receive ten paid sick days, in addition to all staff holidays.
