Position Summary:

The role of the Advancement Assistant is to provide support to the Vice President of Advancement and the Advancement Team.  The tasks, responsibilities, and essential job requirements are listed below.

Spiritual Requirements:

Coram Deo Academy hires individuals that profess the historic Christian faith. The Nicene Creed describes the minimum understanding of and subscription to Christian belief required of employees of the Academy. Tasks & Responsibilities:

  • Maintain the Vice President’s calendar and coordinate scheduling needs.
  • Proofread of all communications sent from the Office of Advancement including letters, emails, and Marketing publications.
  • Manage and direct inbound telephone calls and general email inquiries.
  • Provide administrative and clerical support, including the preparation of correspondence, reports, memoranda, notices, policies, and procedures.
  • Maintain all files and folders within the Advancement office.
  • Act as minute secretary and provide secretarial support, including agenda preparation and distribution, for regular meetings.
  • Use discretion and judgement in the absence of the Vice President to manage or refer urgent matters to the appropriate senior staff.
  • Prepare invitations, donor thank you notes, awards and other relevant documentation and information for special events and functions.
  • Attend to department travel and accommodation arrangements, as required.
  • Maintain the department’s budget and prepare department credit card reports, invoices, check requests, and reimbursement requests.
  • Assist in data entry and gift entry in donor database.
  • Assist with donor research and reports.
  • Help facilitate donor and fundraising events and appeals.
  • Order materials and supplies for the department and events as needed.
  • Perform other duties as assigned.

Essential Job Requirements:

  • Strong time management and organizational abilities including the ability to succeed in a busy and fast paced environment.
  • Ability to attend on campus and off campus events.
  • Excellent communication skills, both written and oral, to include proofreading.
  • Ability to function effectively as both an individual and a member of a team.
  • High level computing skills including the ability to utilize MS Word, Excel and PowerPoint at an intermediate/expert level.
  • Excellent interpersonal and relationship management skills.
  • Must demonstrate punctuality, good attendance, and strong work ethics in all areas.
  • A first-rate customer service focus within an administrative and clerical context.
  • Thorough understanding of meeting procedures, agendas and minute taking.
  • Requires extraordinary attention to detail and follow through to meet deadlines and commitments.
  • Requires conscientious attention to detail and commitment to accuracy in all areas.
  • Requires significant confidentiality in all matters.
  • Requires adhering to District and Academy policy, rules, and regulations.

EXPERIENCE

  • First-hand knowledge of Christian, classical, & collaborative educational model preferred.
  • Three years of successful experience in a comparable role.

EDUCATION

  • Bachelor’s degree preferred.

Physical Requirements and Work Environment

  • Works in an occasionally stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
  • May work at a desk and computer for extended periods of time.
  • Be able to occasionally lift up to 30 lbs.
  • Work primarily in a traditional climate-controlled office environment.
