DEPARTMENT: Executive and Administration
REPORTS TO: VP of Operations and President/CEO
Founded in 1980, CNM is the leading nonprofit management consulting firm in North Texas with offices in Dallas and Fort Worth. CNM’s mission is to strengthen communities by working with nonprofits and other stakeholders to focus on results through strategic management and data expertise and leading-edge technology.
POSITION:
CNM is seeking an energetic and experienced professional to support all CNM internal and external operations. The Operations Specialist will be responsible for ensuring the smooth operation of CNM’s facilities, administrative functions, and support services for various departments, including Professional Development, Consulting, Development and Marketing, and Membership. The Operations Specialist will also provide administrative support to the President and CEO.
PRIMARY RESPONSIBILITIES:
- Facilities
- Serve as the point of contact for CNM office space in Dallas and Fort Worth
- Responsible for answering the phone and picking up mail in the Dallas office
- Responsible for maintaining clean, efficient, and welcoming space in Dallas and Fort Worth offices
- Responsible for assisting with meeting space needs for Professional Development program
- Assist with IT troubleshooting and act as a liaison with CNM’s IT partners
- Administrative
- Responsible for coordinating meeting space and needs for Dallas office
- Responsible for monitoring CNM general inboxes and directing inquiries to the appropriate team member
- Assist with HR tasks as needed (onboarding agendas, message distribution, updating documents, etc.)
- Assist with Professional Development administrative tasks (printing and mailing class certificates, tracking attendance and make up sessions, creating class rosters, assist with classroom setup and clean up, etc.)
- Assist with Consulting administrative tasks (review proposals, enter information in Salesforce, etc.)
- Assist with Development and Marketing administrative tasks (prepare and mail thank you notes, support for events, including A Night of Light, etc.)
- Assist with Membership tasks (updating YourMembership database, etc.)
- Review CNM policies and procedures and make necessary changes, as needed
- Other duties as assigned
- Administrative Assistant for CEO
- Provide administrative assistance for the President and CEO. Responsibilities include:
- Calendar management – setting appointments and zoom meetings as requested
- Communication support – assist with emails and other communications
- Meeting coordination – coordinate creation of agendas and additional support
- Document management – prepare and proofread presentations, reports, etc.
- Project management support
- Board meeting support
- Provide administrative assistance for the President and CEO. Responsibilities include:
QUALIFICATIONS AND EXPERIENCE:
- High school diploma required. College degree preferred.
- Demonstrated experience in operations for a small business or nonprofit.
- Demonstrated high level of organization and attention to detail.
- Ability to manage multiple projects simultaneously.
- Strong written and verbal communication skills.
- Ability and commitment to maintain confidentiality.
- At least two years knowledge and experience using the latest versions of Windows-based software including Word, Excel, and PowerPoint. Proficient use of various A/V technologies preferred. Experience with Salesforce, SurveyMonkey, WordPress, and MailChimp is a plus.
