The Development Events Operations Associate is an integral member of DSM’s Development Team responsible for the preparation, setup, staffing, and execution of DSM Development events including, but not limited to DSM’s annual gala, its new Spotlight Dinner Series, its new Salon Series, donor benefit fulfillment events, and a future travel program. The position includes interaction with a range of individuals from high-net-worth donors and Board members to outside vendors and internal staff, event logistics and organization, ticketing, database work and general administrative duties.

Responsibilities:

Working closely with various members of the Development Team, responsible for the preparation, setup, staffing, and execution of DSM’s:

  • Membership Suite during Broadway show runs, consistently looking to build attendance, and increase quality of service while reducing costs.
  • Private Event Space, to execute stunning custom show-themed events with best-in-show customer service.
  • Salon Series, to provide intimate and informative sessions for DSM Board and Advisory Board members.
  • Season Announcement Cocktail Party, to offer an exclusive conclusion to DSM’s subscriber season announcement event for CenterStage Star donors.
  • Backstage tour, to create an amazing “behind-the-scenes” look at DSM for CenterStage Radiant Star donors and above.

Working closely with DSM’s outsourced event planner:

  • Serve as a support person in the preparation, setup, staffing, and execution of the Spotlight Dinner Series, to create stunning show-themed custom experiences in donor’s private homes and exclusive locations.
  • Serve as a support person in the preparation, setup, staffing, and execution of DSM’s annual Gala to create a one-of-a-kind, must-attend, fabulous “event of the season.”

Duties:

  • Organizing outside vendors and maintaining onsite presence during build-out, delivery, and daily set-up and strike of event space.
  • Onsite presence at all events to ensure smooth operations.
  • Coordinating with Culinaire or outside catering company for attendance, meal counts, dietary restrictions, ordering and stocking of food, beverage, and service items.
  • Partnering with relevant internal DSM teams to ensure successful events, as appropriate, including ticketing with box office, logistics with facilities, timing and staffing with front of house, and signage and printing with marketing.
  • Ensuring efficient and sufficient event staffing, including volunteers.
  • Database work including maintaining reservation lists with multiple data points, ticketing, and creating and deploying email invitations and reminders.
  • Contacting donors; drafting and sending all event acknowledgement letters.
  • Tracking and reconciling budgets.
  • Coordinating parking benefits.
  • Calendaring, providing support services, attending, and taking notes at various development department meetings.
  • Support other department meetings as assigned.

Requirements:

  • Three to five years nonprofit development experience--preferably in a high-functioning arts organization.
  • Proficiency in common fundraising software/technology including integrated database systems, Microsoft Office, CRMs, and social media platforms.
  • Demonstrated experience planning small and large-scale meetings and events.
  • Demonstrated ability to manage time, deadlines, and confidentiality.
  • Clear and concise verbal and written communication skills: in person, on the phone and through electronic correspondence.
  • Access to consistent method of transport to/from the Music Hall at Fair Park and locations in/around Dallas County.
  • Must be able to lift/carry a maximum of 30 pounds, push/pull a maximum of 30 pounds, stand, sit, bend and walk for extended periods of time.
  • Fully Vaccinated for COVID-19; DSM will consider accommodations for reasons based upon disability or religious beliefs.
  • High school diploma or equivalent.

Preferred Skills:

  • Experience working in Raiser’s Edge and/or Archtics
  • Appreciation for musical theatre and/or the performing arts
  • Bachelor’s degree
