Mustang Club office administration: Manage the Mustang Club phones and e-mail accounts. Provide quality control to ensure that all donors needs are met and inquiries are answered. Greet visitors upon arrival. Scheduling weekly team meetings and assist development officers with scheduling donor visits. Utilize our partners and travel booking system, Concur, to book donor travel for away trips.
Manage the Athletics database (Archtics) which includes, but is not limited to: running fundraising reports, compiling lists of donors/lapsed donors, processing donations and season ticket purchases, data integrity checks and supporting the team in other database-related measures. Assist in gift entry and reconciliation between Ticketmaster and BBEC databases. Manage the priority point and ranking
Gift acknowledgments and stewardship efforts: Thank You cards, birthday cards, holiday cards and gifts, giving anniversaries, and assist the Manager of Operations in other stewardship efforts.
Provide event support for Mustang Club and Lettermen's Association related events.
Other duties as assigned.
Position requires regular evening and weekend work for athletic events.
Education and Experience:
A high school diploma or equivalent is required. Bachelor’s degree is preferred.
A minimum of two years’ of work experience providing administrative support and/or experience managing logistics for multiple events/programs, is required.
Experience in Athletics development or a non-profit is preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong verbal and interpersonal communications skills to effectively interact with a wide range of constituencies in a diverse community. Must also demonstrate a strong customer service orientation.
Candidate must demonstrate strong written communication skills with ability to produce error-free written communications A strong focus on attention to detail is essential.
Candidate must possess strong time management, organizational and planning skills with the ability to multi-task in a fast-paced, team environment. Must also possess strong problem solving skills with the ability to be resourceful, proactive, and seek assistance as needed.
Candidate must demonstrate proficiency in Microsoft Office suite. Database experience with Blackbaud is preferred. Experience with TicketMaster Archtics is desirable
