Responsibilities for Cistercian’s Database Administrator
Summary:
The Database Administrator should be a highly-organized, driven team player who will take ownership of database maintenance, reports, solicitation mailings, and stewardship pieces to move the Office of Development forward. This position reports to the Director of Development and assists as needed with other functions within the Development Office and administrative duties for the School.
Job Duties:
The following is a sampling of the duties to be performed by the Database Administrator:
- Serve as primary database manager using Blackbaud’s Raiser’s Edge software, specific Raiser’s Edge duties to include:
- Process gifts, pledges, and honors/memorials for the School on a daily basis; generate donor acknowledgement letters and honor/memorial notifications with the ability to modify letters as needed; post gifts to the general ledger
- Enter gifts to the Abbey on a weekly basis; generate donor acknowledgement letters
- Regular review of database to insure accuracy of information
- Update constituent records on an ongoing basis
- Actively seek and assemble notable information regarding constituents and maintain in database records
- Prepare annual donor solicitation letters
- Collect class notes in the database and prepare for biannual magazine
- Pull lists for mailings, invitations, email blasts, and other information as needed
- Generate donor category lists for annual report
- Generate pledge reminders monthly and past due reminders as requested
- Audit and confirm accuracy of reports and queries; design new queries
- Work closely with the Registrar’s Office to: produce student re-registration forms (annually); import student records from Raiser’s Edge to PowerSchool (annually), generate data for School Directory (annually), Emergency Alert Contact system (weekly), and Friday Notes parents’ e-newsletter (weekly)
- Keep all school databases current including Raiser’s Edge, PowerSchool, and Directory Spot.
- Work closely with the Business Office to reconcile gifts and pledges, assist with internal control over cash, and provide information as needed for the annual audit
- Be the primary contact for the school’s third-party payment platforms (Acceptiva and Square)
- Provide Raiser’s Edge training as needed to staff members
- Coordinate the matching gift process
- Assist at special events as needed
This position also serves as back-up support for our receptionist throughout the day and especially from 4:00-4:30 each school day and as needed during the summer.
Job Requirements for Success:
- Extensive experience and demonstrated proficiency in working with Blackbaud’s Raiser’s Edge software, including: creation of queries, reports, and exports; creation and maintenance of tables, attributes, addressees/salutations, and letters in configuration; and performance of global tasks in administration as needed
- Excellent written and verbal communication skills; ability to write, edit and proofread written documents
- Experience with the Financial Edge would be a plus
- Proficiency with MS Office Suite with excellent MS Word (especially Mail Merge) and Excel skills
- Multi-tasking capability in collaborative environment combined with an ability to work independently
- Ability to prioritize tasks, work well under pressure, adhere to deadlines, and anticipate upcoming needs
- Strong organizational skills and work ethic
- Strong attention to detail
- Customer-first attitude and welcoming presence; commitment to donor stewardship
Cistercian Preparatory School and Abbey:
Cistercian Preparatory School was founded with the aim of preparing talented boys for colleges of their choice by challenging their minds with excellent academic programs, molding their character through the values of Catholic education, and offering them guidance with both understanding and discipline.
The School is owned and operated by the Cistercian Abbey, a community of 25 Catholic monks, teaching in the Preparatory School and at the University of Dallas as well as working in local parishes. The Development Office oversees fundraising and gift acknowledgement for both School and Abbey.
