Job Summary

The Budget and Grants Coordinator will provide support to Refugee Services of Texas (RST) Finance and Programs departments, assisting the Director of Finance and Accounting in the annual budget process and supporting the monthly budget and grant reporting. The Budget and Grants Coordinator will serve as the liaison between the Programs team and Finance on developing grant budgets and grant reporting. The Budget and Grants Coordinator will also be responsible for forecasting federal grant spending and ensuring compliance for each grant.

This position can be based in either Dallas or Austin. Some overnight travel will be required between the two cities.

Responsibilities

  • Prepare monthly budget reports: budget to actual, variance, forecasting and trend analysis
  • Assist in developing the organizational annual operating budget and in supporting the development and review of program budgets
  • Review, track and analyze expenditures for RST grants on a monthly basis to ensure expenses are in line with projected spending; identify and resolve program financial information issues ensuring that all activities are in compliance with RST policies as well as donor regulations
  • Upload and maintain budgets in the financial management system to ensure current budget information is available for monitoring program budgets
  • Assist in developing and automating financial reports for distribution
  • Coordinate with the programs team in the development of budgets for new proposals to ensure financial reports are prepared, approved and submitted on time
  • Coordinator with development and program staff in developing budgets for grant proposals
  • Reconcile and report on matching grant in-kind donations
  • Serve as the liaison between RST’s finance department and the organization’s service centers providing guidance and assistance for annual budget planning, audit reviews and monitoring as necessary
  • Assist in documenting standard operating procedures
  • Provide coverage and backup for other Finance Team members as needed
  • Other duties or special projects as assigned by the Director- Finance and Accounting

Job Qualifications:

  • Bachelor’s Degree in Accounting, Finance or Business
  • Demonstrated experience in grants management or budgeting and forecasting
  • Experience with federal and/or state grants; knowledge of the non-profit sector and grant-making procedures preferred
  • Great attention to detail, specifically the ability to proactively manage multiple tasks and shifts in priorities quickly; ability to exercise sound judgment and initiative
  • Advanced Excel skills including formulas, v-look ups and pivot tables required; experience with and the ability to learn new accounting software packages quickly
  • Good interpersonal and communication skills
