Job Title: Advancement Administrative Assistant

Department: Advancement

Reports To: Chief Advancement Officer

FLSA Status: Non-Exempt, full-time, contract through May 2020

Position Summary: This position will provide support to the Advancement Office including the development, admissions and marketing and communications departments. Serving as the primary receptionist for the Executive Office, this position is responsible for maintaining a professional and welcoming environment while being perceptive and disciplined. Reporting directly to the Chief Advancement Officer, this position will manage the front desk, provide administrative support to the advancement team, and provide database management support.

  • Strong initiative and customer service orientation

  • Software proficiency in database management (Raiser’s Edge), Microsoft Office and Google email.

Education/Experience: Bachelor’s degree in Business related field preferred. Professional/Corporate business experience of 3-5 years.

Communication Ability: Communicate clearly in written and oral expression; ability to relate effectively with school personnel, parents, students, and community groups and individuals.

Reasoning Ability: Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Deal with problems involving several concrete variables in standardized situations.

Computer Skills: To perform this job successfully, an individual should have knowledge of school management software; and basic office software along with software proficiency in database management (Raiser’s Edge), Microsoft Office and Google email.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Advancement Administrative Support:

  • Acknowledge donations and event ticket purchases weekly through thank you letter process
  • Process all donation tax receipts
  • Process all mail and donations to ensure proper entry
  • Process all invoices and expense reports
  • Process check requests
  •  Order office supplies
  • Assist with scheduling for the Chief Advancement Officer
  • Maintain the Advancement Team calendar
  • Serve as a collaborative member of the Advancement team
  • Assist with special events as needed
  • Flexibility to work evening and weekend hours as required

Database Management Requirements:

  • Conduct data entry, pull reports, pull mailing lists, and ensure data integrity
  • Enter payroll deductions for employees bi-weekly into Raiser’s Edge
  • Update Raisers Edge with Alumni updates
  • Update MailChimp email lists
  • Update Facebook Parent groups
  • Update RenWeb database

Front Desk Requirements:

  • Create a welcoming, positive, people-oriented atmosphere that is both comfortable and professional
  • Provide outstanding customer service in-person, through written communication, and on the telephone to the entire Legacy community
  • Prepare office prior to open and close each business day, such that the office maintains a neat and orderly appearance
  • Manage visitor access to campus
  • Provide front desk coverage as needed for other functions
  • Maintain confidentiality with all conversations, files, records, and materials according to school policy and state and federal law
