Position Summary
As directed and guided by the Development Manager, the Administrative Assistant supports fundraising campaigns, events, coordinates donor related marketing and communications and development activities we undertake to achieve our annual contributed revenue goal.



  • Archive media coverage, past social media formats/designs, press releases, etc.
  • Stock, catalogue, and update Development collateral as needed
  • Help ensure that all Development internal and external communications stay brand aligned and adheres to style guidelines
  • Manage relationships with Development collateral vendors
  • Serve as primary photographer for Development Team
    • Capture and catalog impactful client stories
      • Catalog client stories captured by Programs team.
      • Document or create process for capturing and cataloging client stories.

Fundraising Campaigns

  • Assist with coordination of vendor mailed and digital solicitation campaigns
  • Create and mail all acknowledgment letters
  • Record and document gifts in donor database, SharePoint and paper files
  • Maintain donor database and donor files
  • Manage donor and contact lists, executing electronic and paper distribution
  • Create and maintain reports on campaign progress

 Online Presence

  • Update Development pages on website, as directed by Dev Mgr.
  • Assist with Development related social media, including content creation, scheduling posts on various platforms and interacting with audience of supporters, partners, etc.


  • Help plan, coordinate, and execute fundraising events.
    • Securing venue and catering needs,
    • Ensure event communication and marketing materials are sent,
    • Manage registration
    • Create event reports.

Board of Directors and Committee Meetings

  • Coordinate Development and Marketing Committee meetings.
    • Scheduling meetings, coordinating catering needs, preparing meeting materials, and record keeping, etc.
  • Assist Development Director (Dev. Dir.) with Board of Directors meetings (as performed for Dev and Mkting Committee Mtgs, see above)

Reception Duties

During Pantry hours, greet and direct clients, vendors, appointments, deliveries, donation drop-offs, etc.

  • Serve as front desk point of contact during pantry hours
  • Process pantry clients and communicate with pantry staff when special client circumstances arise, i.e. SNAP-AC appointments arrive.
  • Distribute CSFP and Emergency Food Boxes,
  • Share program information with clients and encourage clients to enroll in SNAP or recertify

Other Responsibilities

  • Run donor and client-metric reports as directed by Dev Mgr.
  • Engage in continuing education
  • Share feedback and suggestions with Dev. Dir. and Dev. Mgr. about best and promising practices and innovative techniques for donor acquisition, friend-building and retention
  • Represent Crossroads at community engagement events, corporate fairs, etc.
  • Work may include occasional evenings, weekends, and local travel.
  • Perform other duties as requested by Dev Mgr. or Dev Dir



  • Bachelors degree or equivalent work experience
  • Microsoft (MS) Outlook, Word, Excel, PowerPoint
  • Facebook, Instagram, LinkedIn
  • MUST be fluent in verbal and written Spanish


  • MS SharePoint, Teams, OneNote, OneDrive
  • Publisher, WordPress, Adobe Illustrator, Bloomerang, Hootsuite


  • Fluent in verbal Portuguese

Crossroads Community Services' mission is to nourish our community's low-income families by providing nutritious food and supportive education.  By distributing substantial amounts of wholesome food, Crossroads strives to meet the basic food needs of all our clients, while helping to supplement their household incomes. In 2019 with the help of our Community Distribution Partners, Crossroads distributed 5 million pounds of groceries to 25,000 individuals throughout Dallas, Ellis and Navarro Counties—enough food to prepare 4,160,000 wholesome meals and save $10,000,000 at the store.  In 2020, we project distributing 7,200,000 pounds that will benefit approximately 30,000 people.
